This topic should help to understand what Approve Bills page really shows when using a Workflow for Approval Routing.
Setup:
The Approve Bills screen will change after ticking the Workflow Approval Routing option under Setup > Accounting > Accounting Preferences > Approval Routing tab > Vendor Bills = True
Where:
Transactions > Purchases/Vendors > Approve Bills
Approve Bills - preferences
Approve Bills shows only Bills:
- With Add button actions in Workflow;
- In active Workflow state;
- With fulfilled conditions (an example: Administrator won't see anything in Approve Bills page if the Workflow condition is set for Sales Manager only).
In case of inconsistency of Approve Bills results page and a customized Saved Search, it is recommended to create a new Saved Search that will check all those Bills not found by Approve Bills page:
1. Go to Transactions > Management > Saved Searches > New
2. Click Transactions
3. On the Criteria tab > Standard subtab : Add the following:
- Type is Bill
- Status is Bill: Pending Approval
- Workflow: Current State is none
- Main Line is true
4. Put a Search title
5. Click Save & Run
