SCENARIO:
- The current highest invoice number is Sales002
- Auto-Generated Numbers is enabled for Invoices (Setup > Company Auto-Generated Numbers > Document Numbers tab) and Allow Override is checked
- A user creates two new invoices, overrides the auto-generated numbers and instead uses Sales100 and Sales101
- At this point the sequence is distorted since numbers Sale003 to Sale099 were skipped
SOLUTION:
To restore the invoice numbering, perform the following steps:
1. Important: Make sure no one is creating any new invoices until the steps below are completed.
2. Navigate to Setup > Company > Auto-Generated Numbers and click the Document Numbers tab. Take note of the Current Number for Invoice.
3. Edit all invoices created after the number sequence has changed, in this example, Sales100 and Sales101. Change the Invoice # to follow the correct sequence (so Sales100 must be changed to Sales003 and Sales101 to Sales004) until all affected invoices follow the correct number sequence.
4. After updating all affected transactions, navigate to Setup > Company > Auto-Generated Numbers and click the Document Numbers tab. Make sure that the Current Number column now shows the highest invoice number; in this example, Sales004.
5. Set a new Initial Number for Invoices, i.e. the next invoice number in the sequence (Sales005 in this example). Select UPDATE INITIAL NUMBER box to put the new Initial Number.
6. Uncheck Allow Override for Invoice. This ensures that users will not override the system-generated numbers when creating invoices.
7. Click Save.
To test, create a new invoice and check if it now follows the correct invoice number sequence (Sales005).
Notes:
1. This is an alternate solution for Enhancements 71541 and 81339
2. In case multiple records are affected, CSV update can be used as an alternative for manually editing the affected records.
3. This also applies to other Transactions found under the Document Numbers tab (Setup > Company > Auto-Generated Numbers > Document Numbers) such as Work Orders.
