CSV Import > Record Type=Cash Sale > Cannot specify a Cash Sale account other than the Undep. Fund account


Scenario:
When importing cash sales into NetSuite, the system still uses the Undep. Fund account even if a different account was specified in the CSV file and the Account field was included on the Field Mapping.


To be able to specify a Cash Sale account other than the Undep. Fund account, follow these steps:

A. Make sure that the Default Payment Account is not blank on the Accounting Preferences page.
1. Navigate to Setup > Accounting > Accounting Preferences.
2. Click the Items/Transactions tab.
3. Look for Default Payment Account and specify an account.
4. Click Save.

B. Indicate the correct account on your CSV file and include the Account field on your mapping.
* If you are importing multiple cash sales in one CSV file, make sure that each transaction has the correct account. If the Account field is not included on the Field Mapping, it will automatically default to the account chosen on Step A3.

To summarize:

A. NetSuite will automatically use the 'Undep. Fund' account if no Default Payment Account is specified in the Accounting Preferences page (Setup > Accounting > Accounting Preferences > Items/Transactions tab > Accounts section), whether the Account field is included on the Field Mapping of a CSV import or not.

B. If there is a Default Payment Account specified in the Accounting Preferences page and that account is different from the Undep. Fund account, NetSuite will assign the Default Payment Account when importing cash sales only if the 'Account' field IS NOT included on the field mapping.

C. If there is a Default Payment Account specified in the Accounting Preferences page and that account is different from the Undep. Fund account, NetSuite will assign the account specified on the CSV file if the 'Account' field IS included on the field mapping.
