Cannot create a new employee record, receive error "There is already an employee with external access to this account using the same entity name. All employee with external access must have unique entity name for the login purposes..."

Summary:

Identify the Cause of the Error "There is already an employee with external access to this account using the same entity name. All employee with external access must have unique entity name for the login purposes. Go back, change the entity name and resubmit."


Answer:
  • There is already an existing employee record with the same Employee Name/ID but is set up with an Employee Type of Adjustment Rep.
  • To identify employees with the type of Adjustment Rep, navigate to Setup > Sales > Sales Preferences.
  • Once Adjustment Reps are identified, locate the employee record by creating an Entity Saved Search:
    1. Go to Lists > Search > Saved Searches > New.
    2. Select Entity as Search type.
    3. On the Criteria tab, add a filter for Name/ID and enter the name of the Adjustment rep.
    4. Run or preview the search.
  • Notes: This solution is applicable when Team Selling feature at Setup > Company > Enable Features > CRM tab and Allow Overassignment in Sales Teams preference is enabled at Setup > Sales > Sales Preferences.
